Bookkeeper Agent

What this is

Bookkeeper Agent is private, internal software operated by Jacobi RE Holdings LLC, a Delaware limited liability company. It connects to QuickBooks Online company files that the company owns or controls, in order to categorize transactions, check reconciliation status, and review bookkeeping quality.

It is not sold, licensed, or distributed to anyone outside the company, and it is not listed on the Intuit App Store or any other marketplace. It has one operator.

How it runs

The Software is a command line application that runs locally on computers owned by the company. There is no website, no hosted service, no user account system, and no public interface. This page exists to document the application and to satisfy Intuit's requirement that an application publish a home page, connection instructions, and legal terms.

Connecting a QuickBooks company

Connection is performed by the company owner from the machine that runs the Software:

  1. Run the authorization command on the local machine.
  2. A browser window opens on Intuit's own sign-in and consent screen.
  3. Sign in to the Intuit account and select the QuickBooks company to connect.
  4. Approve the accounting permission. The resulting token is stored locally, readable only by the operating system account that runs the Software.

To reconnect after a token expires, or to connect an additional company, the same steps are repeated. A QuickBooks refresh token expires 100 days after its last use.

Disconnecting

Access can be revoked at any time, and revoking it immediately ends the Software's ability to read or write anything:

  1. Sign in to QuickBooks Online.
  2. Go to Settings, then Apps, or open the Intuit account's connected apps page.
  3. Find Bookkeeper Agent and select Disconnect.

Locally stored tokens become unusable and are deleted. No further action is required.

What it can and cannot do

QuickBooks Online does not offer a read-only permission for accounting data, so the permission granted includes write access. The following limits are enforced inside the Software itself:

  • It can connect only to a fixed list of company files identified in its source code. Any other company is refused.
  • It modifies only the expense account assigned to a transaction. It does not create, delete, or void transactions, change amounts, dates, or payees, alter the chart of accounts or bank rules, or move money.
  • It will not modify a transaction that was categorized by a person, unless the Software itself categorized it earlier and holds a record of doing so.
  • It will not modify a transaction dated in a closed and filed tax year.
  • Every change requires a person to confirm it at an interactive terminal. It cannot write from an unattended or scheduled run.
  • Every change is recorded in an append-only audit log.

Professional review

All work performed by the Software is reviewed by the company's accountants and bookkeepers, who retain responsibility for the accuracy of the books and for the preparation and filing of returns. The Software does not replace them and does not provide tax, legal, audit, or financial advice.
