Bookkeeper Agent Privacy Policy

Bookkeeper Agent ("the App") is private, internal software operated by Jacobi RE Holdings LLC ("we", "us"), a Delaware limited liability company. It is not offered, sold, licensed, or made available to the public, and it has no users outside our own organization.

The App connects to QuickBooks Online company files that we own or control, in order to categorize transactions, check reconciliation status, and review bookkeeping quality. This policy describes what it accesses, where that information goes, and how long it is kept.

1. Who this policy is for

The App has a single operator: the owner of Jacobi RE Holdings LLC. There are no customers, subscribers, or third-party end users, and we do not collect information from members of the public through the App.

The App does, however, process accounting records that contain personal information about other people, including the names, and in some cases the contact and payment details, of vendors, contractors, customers, employees, and business partners recorded in our books. Sections 2 to 5 apply to that information.

2. What the App accesses

With the QuickBooks Online accounting permission granted by the company owner, the App can read:

  • the chart of accounts
  • transactions, including expenses, deposits, transfers, bills, and journal entries
  • general ledger detail, including transaction dates, amounts, memos, split accounts, the reconciliation status of each line, and which user created or last modified it
  • vendor, customer, and employee records referenced by those transactions
  • standard financial reports, such as profit and loss, balance sheet, and aging summaries

The App writes only one thing: the expense account assigned to a transaction. It does not create, delete, or void transactions, does not change amounts, dates, or payees, does not alter the chart of accounts or bank rules, and does not initiate payments or move money.

QuickBooks Online does not offer a read-only permission for accounting data. The permission we are granted therefore includes write access, and the restrictions above are enforced within the App itself rather than by the scope of the permission.

3. Where the information goes

We are describing this in full, including processing by third parties, because the App is assisted by an AI system and does not operate solely on one machine.

  1. Our own computers. QuickBooks data is retrieved to computers we own and control. Access tokens are stored locally in a restricted-permission file. Activity logs, including a record of every change the App makes, are stored in local files.
  2. Anthropic PBC. The App is operated with the assistance of Claude, an AI assistant provided by Anthropic. Accounting data the App reads is transmitted to Anthropic's API for processing so that categorization and review decisions can be made. Anthropic's handling of that data is governed by its own commercial terms and privacy policy.
  3. Obsidian Sync. Our local activity logs are synchronized between our own computers using Obsidian Sync, which is end-to-end encrypted. Those logs contain transaction dates, amounts, vendor names, and account names.
  4. Slack. Summary reports derived from this data are delivered to a private Slack workspace controlled by us.

We do not sell this information. We do not share it for advertising, marketing, or analytics. We do not disclose it to any party other than those listed above, our accountants and bookkeepers, and where we are required to do so by law.

4. How long it is kept

  • Access tokens are stored until they expire or are revoked. A QuickBooks refresh token expires 100 days after its last use.
  • Activity and audit logs are retained for 24 months, so that a change made by the App can still be reviewed when our accountants prepare or amend a tax return.
  • Accounting data itself is not warehoused by the App. It is read when needed and not retained in bulk. What persists locally is limited to the log entries described above.

5. Security

  • Credentials and access tokens are stored in files readable only by the operating system account that runs the App.
  • All communication with QuickBooks Online uses encrypted HTTPS connections.
  • The App can connect only to a fixed list of company files identified in its source code. Any other company is refused.
  • Every change the App makes is recorded in an append-only audit log.
  • The App cannot make a change without a person confirming it at an interactive terminal. It cannot write from an unattended or scheduled run.

6. Disconnecting

The company owner can revoke the App's access at any time from the QuickBooks Online settings, under Apps, or from the Intuit account's connected apps page. Revoking access immediately ends the App's ability to read or write anything. Locally stored tokens become unusable and are deleted.

7. Your rights regarding personal information

If you are a vendor, contractor, customer, employee, or partner whose information appears in our accounting records, you may ask us what information about you we hold, ask us to correct it, or ask us to delete it where we are not required to retain it for tax, legal, or accounting purposes. Contact us using the details below and we will respond within 30 days.

8. Changes to this policy

If we change what the App accesses or where that information goes, we will update this page and revise the date at the top.
